Offshore staff for US property management companies: leasing admin, maintenance coordination and accounts

Tenant and owner communications, leasing administration, work order coordination and property accounting, handled by a dedicated team member in the Philippines who works only for your company, inside AppFolio, Buildium or Yardi, on your US business hours.

Offshored provides dedicated offshore assistant property managers, leasing and customer service representatives, maintenance coordinators and property accounting bookkeepers to US property management companies from US$1,350 to US$2,000 a month on Eastern, Central and Mountain hours (US$1,500 to US$2,200 on Pacific hours), all-inclusive. Each team member works full time for one company only, inside that company's own property management software and under the supervision of its licensed broker or property manager, and is employed in the Philippines by Australian Pathways OPC.

A property management company runs on volume: every door brings rent to post, owners to update, applications to process, work orders to chase and vendors to pay, and the phone never stops. When the doors grow faster than the office, response times slip and the licensed manager spends the day on tasks that do not need a license. This page sets out the roles that work offshore for a property management company, what stays with your licensed people, how fair housing, tenant screening and state licensing rules are respected, what it costs in US dollars and a scenario for a typical company. Prices are Offshored's published US bands.

Roles

The roles that work offshore for a property management company

Four roles cover most of what US property management companies send offshore. Each is a full-time, dedicated person who learns your portfolio, your owners and your software, and stays with you.

Assistant property manager

Handles tenant and owner communications from your templates, prepares lease renewals and notices for the manager's approval, schedules move in, move out and periodic inspections, follows up work orders, keeps unit, tenant and owner records current in AppFolio, Buildium or Yardi and prepares the monthly owner statements for release.US$1,350 to US$1,700 a month on Eastern, Central and Mountain hours; US$1,500 to US$1,900 on Pacific hours

Leasing and customer service representative

Answers inbound inquiries by phone, email, text and chat in your company's name, schedules showings, collects applications and supporting documents, orders screening reports under the criteria your licensed manager has set, keeps applicants informed and hands a complete file to the manager for the decision.US$1,350 to US$1,700 a month on Eastern, Central and Mountain hours; US$1,500 to US$1,900 on Pacific hours

Maintenance coordinator

Triages incoming work orders, dispatches your approved vendors, gathers quotes, requests owner approval within the limits you set, confirms completion with the tenant, matches vendor invoices to work orders and keeps the maintenance log and vendor insurance records current.US$1,350 to US$1,700 a month on Eastern, Central and Mountain hours; US$1,500 to US$1,900 on Pacific hours

Property accounting bookkeeper

Posts and reconciles rent receipts, processes owner draws and vendor bills, prepares the trust account reconciliation for the broker's review and signature, maintains owner and tenant ledgers, assembles 1099 data for owners and vendors and prepares the month end reports. The US bookkeeper page describes the band.US$1,500 to US$2,000 a month on Eastern, Central and Mountain hours; US$1,650 to US$2,200 on Pacific hours

An offshore accountant (T3, US$1,700 to US$2,400 a month) is the next hire for a company that manages several hundred doors or runs commercial portfolios with CAM reconciliations.

What stays with your licensed people

Lease negotiations, lease signing, screening decisions and adverse action, rent collection authority, trust and security deposit accounts and every fair housing judgment stay with your licensed broker or property manager. In most states, leasing, lease negotiation and rent collection are licensed real estate activities (Institute of Real Estate Management, Property Management Licensing Report, February 2017; confirm the current position with your state real estate commission). Your offshore team member is unlicensed support working under that supervision: they prepare, you decide and sign.

Workflows and software

Your team member gets a user seat in AppFolio, Buildium or Yardi under the permissions you set, a work email and phone extension on your domain, your screening platform, your e-signature tool and your shared inbox or ticketing system. Vendor and owner approval limits, screening criteria and notice templates are documented during onboarding so the work follows your rules from the first week. Software licenses stay with your company, so an extra seat is usually the only added cost, and your account manager checks in through the first weeks.

Compliance and data handling

Fair housing, tenant screening, state licensing and tenant data

Property management is regulated at the federal and state level, and the rules attach to your company and its licensed people whether the work is done in your office or by a dedicated team member in Manila. Here is how the arrangement sits against them. This is general information, not legal advice; your own counsel and state commission govern.

  • Fair Housing Act. The Fair Housing Act prohibits discrimination in housing because of race, color, national origin, religion, sex, familial status and disability, and protects people when they are renting a home or engaging in other housing related activities (HUD, Housing Discrimination Under the Fair Housing Act). Your offshore leasing representative works from your written screening criteria and call scripts, gives every applicant the same information and the same next step, records every contact in your software and makes no decision on an application.
  • Fair Credit Reporting Act and tenant screening. When you use consumer reports to make tenant decisions you must comply with the FCRA; if you reject an applicant, raise the rent or deposit, require a co-signer or take any other adverse action based in whole or in part on a consumer report, the applicant must receive an adverse action notice naming the consumer reporting agency, stating that the agency did not make the decision and explaining the right to dispute the report (FTC, Using Consumer Reports: What Landlords Need to Know, July 2023). Your offshore team member orders the report and prepares the notice from your template; your licensed manager makes the decision and the notice goes out in the manager's name.
  • State licensing, trust accounts and security deposits. Each state's real estate commission sets which property management activities require a license and how security deposits and owner funds must be held and reconciled. Your offshore bookkeeper prepares the trust account reconciliation, the deposit ledger and the owner statements; your licensed broker or designated signatory reviews and signs every trust transaction, and no offshore team member holds signing authority or negotiates lease terms.
  • Tenant and owner data. Applications, screening reports, Social Security numbers, bank details and owner tax information stay inside your property management and screening platforms. Your team member works through the permissions you set, nothing is stored on a personal device, and the confidentiality obligation in the employment contract continues after employment ends.

How Offshored handles it

  • Screened before you meet them. Every candidate has a pre-screening interview with Offshored's recruitment team in Manila and an NBI clearance (the Philippine national police check) before being presented to you.
  • Confidentiality in the employment contract. The employment contract with Australian Pathways OPC, the Philippine company that employs each team member, carries a confidentiality clause that continues after employment ends and an intellectual property clause: the work product belongs to your firm. The US Terms of Service set out the data security commitments, and you can require a separate non-disclosure agreement.
  • Your systems, your access. Your team member logs in to your own platforms with the permissions you set, over a VPN or directly, depending on your IT setup. Files stay on your systems, you can see what is accessed, and you can revoke access at any moment. Offshored holds no client data on its own infrastructure.
  • Controlled devices. On Offshored supplied laptops the USB ports and personal cloud drives are blocked. Where your policy requires it, a virtual desktop or your own managed device keeps everything inside your environment.
  • Clean exit. Every client system login is removed on the team member's last day, and the confidentiality obligation continues after employment ends.
  • Two privacy regimes. Team members are bound by the Philippine Data Privacy Act of 2012 as well as the confidentiality terms you set. A breach is grounds for dismissal and can be prosecuted in the Philippines. The data security page lists the controls in full.

The data security page, the US legality guide and the US Terms of Service set out the same commitments in full.

Price band

What offshore staff cost a property management company, in US dollars

RoleMonthly fee, Eastern, Central and Mountain hoursMonthly fee, Pacific hours
Assistant property manager, leasing and customer service representative, or maintenance coordinatorUS$1,350 to US$1,700US$1,500 to US$1,900
Property accounting bookkeeperUS$1,500 to US$2,000US$1,650 to US$2,200

One monthly fee per full-time team member covers recruitment and vetting, employment in the Philippines by Australian Pathways OPC, salary, the night shift differential for US hours (10 percent of the regular wage under Article 86 of the Philippine Labor Code, included and never billed separately), 13th month pay, SSS, PhilHealth and Pag-IBIG contributions, Philippine income tax withholding, paid leave and the 11 US federal holidays, HMO health insurance after the six month probation, payroll, HR and an account manager, and replacement at Offshored's cost. Offshored Pty Ltd invoices in US dollars on the 15th of each month, due on the 30th, with no recruitment, placement, setup or exit fees, no lock-in contract and 30 days' notice. Extra hours you approve are not billed; they convert to paid leave. Every band is on US pricing, and the 2026 US cost benchmark sets ten roles against BLS wages.

Converted from A$1,900 at the Wise mid-market AUD to USD rate of 0.7017 read on October 23, 2026, rounded up to the next US$50. Eastern time fees are shown; Pacific time fees are 10 percent higher before rounding. The rate is fixed between reviews and is reviewed on the first business day of each quarter (next review Monday, January 4, 2027); a change applies only to new quotes, never to a running contract.

What that saves against a local hire

The BLS OEWS, May 2025 national median annual wage for secretaries and administrative assistants (SOC 43-6014, the closest BLS occupation to an assistant property manager) is US$47,540, for customer service representatives (SOC 43-4051) it is US$44,770 and for bookkeeping, accounting and auditing clerks (SOC 43-3031) it is US$50,670 (released May 15, 2026, read from the BLS Public Data API on October 23, 2026). Adding the employer cost of benefits at the BLS Employer Costs for Employee Compensation, June 2026 private industry share (wages 70.0 percent of total compensation, so total cost is wage divided by 0.700, Table 1) gives US$67,914, US$63,957 and US$72,386 a year. Against the midpoint of the Offshored Eastern hours band, a property management company saves 73.1 percent on an assistant property manager, 71.4 percent on a customer service representative and 71.0 percent on a bookkeeper. The full method and all ten roles are on the 2026 US cost benchmark.

Scenario

A scenario: a 600 door company in Phoenix

Illustrative scenario

Say a third party management company in Phoenix manages 600 residential doors for 140 owners with a licensed designated broker, two property managers and two office staff. Leasing inquiries go to voicemail during showings, work orders sit for two days before a vendor is called, and the bookkeeper spends the first week of every month on owner statements while the broker reconciles the trust account at night.

The company hires one offshore leasing and customer service representative through Offshored at US$1,525 a month on Mountain hours and one property accounting bookkeeper at US$1,750 a month. Recruitment takes two weeks for each: a scoping call, a shortlist of screened candidates with property management or accounts experience, interviews over video on Arizona hours, a Memorandum of Understanding. Both work 8:00 am to 4:30 pm Arizona time inside the company's AppFolio account under permissions the broker sets, with the screening criteria, vendor limits and notice templates documented in the first week.

Within a month every inquiry is answered the same business day, applications reach the property manager complete, owner statements go out on the first business day of the month and the broker reviews a prepared trust reconciliation instead of building one. Six months on, the company adds a maintenance coordinator so the property managers are back on the road. This is an illustration of a typical setup, not a client case study.

FAQ

Questions property managers ask before hiring offshore

Can offshore staff work inside AppFolio, Buildium or Yardi?

Yes. Your team member gets a user seat in your own AppFolio, Buildium or Yardi account under the permissions you set, so tenant, owner and vendor records, work orders and ledgers stay in your environment. Nothing is stored on a personal device and you can remove access at any time.

Can an offshore leasing coordinator approve or deny applications?

No. The coordinator collects the application and documents, orders the screening report under the criteria your licensed manager has set and hands a complete file to the manager. The manager makes the decision, and any adverse action notice the Fair Credit Reporting Act requires goes out in the manager's name from your template.

Does an offshore team member need a real estate license?

Your offshore team member is unlicensed support and does not negotiate lease terms, sign leases or hold rent collection or trust account authority. Those activities stay with your licensed broker or property manager; in most states they are licensed real estate activities, and your state real estate commission confirms which ones. This page is general information, not legal advice.

How are tenant and owner data protected?

Your data stays in your own systems: Offshored holds no client data on its own infrastructure. Every hire has a pre-screening interview and an NBI clearance, the Philippine national police check. The employment contract with Australian Pathways OPC carries a confidentiality clause that continues after employment ends, Offshored supplied laptops block USB ports and personal cloud drives, and every login is removed on the last day. The data security page lists the controls.

How much do offshore property management staff cost?

Offshored's US bands are US$1,350 to US$1,700 a month for an assistant property manager, a leasing and customer service representative or a maintenance coordinator and US$1,500 to US$2,000 for a property accounting bookkeeper, all-inclusive, on Eastern, Central and Mountain hours; Pacific hours bands are US$1,500 to US$1,900 and US$1,650 to US$2,200. There are no recruitment, placement or setup fees, no lock-in contract, and Offshored Pty Ltd invoices in US dollars.

What about after-hours maintenance calls?

Your team member works your business hours, Monday to Friday, 40 hours a week, on a permanent night shift in Manila. Your existing after-hours emergency line stays as it is; a second team member on a later shift is a second full-time position, and we scope it the same way.
