What we collect
When you enquire or book a call
The enquiry forms on this website ask for your name, phone number, email address, business name, the roles you want to fill, anything you write in the message box, and how you heard about us. The forms also record the page you landed on, the site that referred you, any campaign tags in the link you followed and your Google Analytics identifier, so we can tell which pages and channels produce enquiries. The booking calendar on our book a call page collects your name, email address, phone number and the time you choose. Enquiries and bookings are stored in GoHighLevel, our customer relationship system.
When you speak with us
We keep records of our calls, emails and WhatsApp messages with you. Video calls may be recorded and transcribed with Fathom so that we have an accurate record of what you asked for. The recorder is visible in the meeting, and you can ask us to switch it off at any time.
When you become a client
Contact details for the people we deal with at your business, billing details, the role requirements you give us and records of our dealings with you.
When you apply for a role
Your contact details, your work history, qualifications and references, interview notes and, if you are hired, the documents Philippine law requires your employer to hold, including an NBI clearance.
When you visit this website
Pages viewed, the buttons you click, your approximate location from your IP address, your device and browser, and the site that referred you. We collect this through Google Tag Manager and Google Analytics 4, which use cookies. We do not use advertising cookies on this website and we do not sell this information. Our web host keeps standard server logs, and it reads the country of your connection because the site is not offered to visitors in some countries. You can browse this website without telling us who you are. We only need your details to reply to an enquiry or a booking.
We do not ask for sensitive information through this website. Please do not send it in an enquiry form.
Why we collect it and how we use it
We use personal information to answer your enquiry and quote a fee, to recruit and manage team members for our clients, to run our service and invoice for it, to improve this website, and to meet our legal obligations. We do not send marketing to you unless you have asked for it or you are a client, and every marketing message tells you how to opt out.
Disclosure overseas, including the Philippines
Offshored works across Australia and the Philippines, so personal information is disclosed overseas in the ordinary course of our service.
Australian Pathways OPC
Team members placed with our clients are employed in the Philippines by Australian Pathways OPC (Company Reg. 2023010082245-00), a registered Philippine company. Its recruitment, payroll and HR staff in Manila work with client contact details and role requirements, and they hold candidate and employee records. Australian Pathways OPC is bound by a written agreement to handle personal information in a way that is consistent with the Australian Privacy Principles, as Australian Privacy Principle 8 expects, and it is also subject to the Philippine Data Privacy Act of 2012.
Your customers' data
When an Offshored team member works for your business, they work inside your own systems under logins you control. Offshored holds no client data on its own infrastructure. You remain responsible for your own customers' personal information, including under Australian Privacy Principle 8, and our data security page sets out the controls we apply and the steps that stay with you.
Service providers
We use GoHighLevel for enquiries, bookings, calls and messages, Google for website analytics, WhatsApp for messaging, Fathom for call recording and transcription, Zoho Recruit for recruitment, Xero for invoicing and Netlify to host this website. These providers store information in countries that may include the United States, Singapore and the Philippines.
We do not sell personal information, and we do not disclose it to anyone else unless the law requires it or you have agreed.
How we keep it secure and how long we keep it
Access to our systems is limited to staff who need it, and is protected by individual logins and multi-factor authentication. We keep enquiry records for as long as they are useful to the conversation with you, client records for the length of the engagement and the period the law requires afterwards, and recruitment records for unsuccessful candidates for up to two years unless you ask us to delete them sooner. We destroy or de-identify personal information when we no longer need it.
Access, correction and complaints
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing connect@offshored.net. We reply within 30 days. If you believe we have mishandled your personal information, email us first so we can put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner.
Data breaches
If a data breach involving personal information we hold is likely to result in serious harm, we will notify the affected people and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
