The roles that work offshore for medical and dental practices

These are the four roles Australian practices fill offshore most often. Each is a full-time, dedicated person, not a call centre or a shared pool, and each works to your protocols inside your practice management system.

Medical or dental receptionist

Answers inbound calls on your practice number through your cloud phone system, books and reschedules in Best Practice, Zedmed, Genie, Cliniko or Dental4Windows, sends confirmations, manages cancellations and the waitlist, registers new patients and works the online booking queue from HotDoc or HealthEngine. Recall and reminder coordinator

Runs the recall and reminder lists every day to your clinical protocol: results reviews, care plan and health assessment recalls, hygiene visits and dental treatment plan follow-up, with health fund quotes and item number estimates prepared for the clinician to confirm. Medical billing officer

Practice administration coordinator

Triages the practice inbox and incoming referrals, scans and files results and specialist letters to your doctors’ instructions, supports rostering, keeps the accreditation evidence folders and policy versions current, orders consumables and hands clean figures to your bookkeeper.A$2,100 to A$2,800 a month, all inclusive

Larger practices and groups often add an offshore bookkeeper at A$2,100 to A$2,800 a month for the practice accounts, or a social media and marketing coordinator for the practice’s Google Business Profile and patient communications.

What stays with your clinical team

Your offshore team member does not give clinical advice, does not triage clinical urgency and does not access My Health Record or clinical notes unless you decide the role needs it. Results and recall lists are actioned to the instructions your doctors or dentists record in the practice system, and anything outside the protocol goes back to the clinician. In-room HICAPS and Tyro terminal claims stay with your front desk because they need the patient’s card present, and payment authority over your bank accounts stays with you. They prepare and process; your practice decides.

Workflows and software

Practices set their team member up with a staff login in the practice management system (Best Practice, MedicalDirector and Helix, Zedmed, Genie Solutions, Cliniko, Nookal, Halaxy, Dental4Windows, Praktika, Oasis, Core Practice or EXACT), the online booking tool (HotDoc, HealthEngine or AutoMed), a practice email address and an extension on the cloud phone system (3CX, RingCentral, Aircall or Microsoft Teams phone). Billing roles add the Medicare Online and health fund claiming functions inside the practice software and Xero or MYOB for reconciliation. A scenario: a four-dentist practice in Brisbane

Illustrative scenario

Say a dental practice with four dentists and two front desk staff sees about 60 patients a day. The phones ring hardest between 8am and 10am while patients are being checked in, recalls only get done on quiet afternoons, and health fund rejections sit in a tray until someone has time. The practice manager spends her Friday afternoons on claims that should have been lodged on Monday.

The practice hires one offshore receptionist and recall coordinator through Offshored at about A$2,100 a month. Recruitment takes two weeks: a scoping call, a shortlist of screened candidates with Australian practice experience, two interviews, a Memorandum of Understanding. She logs in to Dental4Windows and the practice’s cloud phone system at 7:30am Brisbane time, takes every inbound call for the first two hours while the front desk checks patients in, then works the recall and treatment plan lists until 3:30pm. Can an offshore receptionist answer our practice phone?

Yes. They answer calls on your practice number through your cloud phone system (3CX, RingCentral, Aircall or Microsoft Teams phone), in your clinic hours, with your scripts and booking rules. Patients speak to the same person every day rather than a rotating call centre, and your on-site team can pick up any call that needs someone at the desk.

How is patient privacy protected with staff in the Philippines?

Your team member works inside your practice management software at the permission level you set, through a VPN or your own remote login, and nothing is exported or stored by Offshored. Every candidate is pre-screened and police checked (NBI clearance) before you meet them, the employment contract with Australian Pathways OPC includes a confidentiality clause, a company supplied laptop with USB ports and personal cloud drives blocked is available where your policy requires it, and all logins are removed on their last day. Your practice remains responsible under the Privacy Act, so your privacy officer adds the arrangement to your privacy policy and collection notice.

Can offshore staff do Medicare and health fund claiming?

They lodge and reconcile claim batches inside your practice management software, work rejections, prepare gap statements and follow up debtors. What hours will they work, and can they cover early starts?

Your clinic hours. Manila is two hours behind Sydney, Melbourne and Brisbane (three behind Sydney and Melbourne in daylight saving) and the same time as Perth, so a 7:30am start on the east coast is a normal 5:30am to 6:30am start in Manila, which we recruit for specifically. We shortlist for the software you run; Best Practice, MedicalDirector, Zedmed, Genie, Cliniko, Dental4Windows, Praktika and EXACT are the common requests, and you interview the shortlisted candidates yourself before deciding. Recruitment typically takes one to two weeks, and where a candidate is strong on reception and billing but new to your particular system we say so and you decide whether a week of training is worth it.
