Four roles cover most of what Australian firms send offshore. Each is a full-time, dedicated person who learns your precedents, your partners’ preferences and your practice management system, and stays with you.
Legal administrative assistant
Opens and closes matters in LEAP, Actionstep, Smokeball or Clio, prepares engagement letters and costs agreements from your precedents, manages diaries, court dates and limitation reminders, files correspondence, arranges couriers and process servers, and keeps every matter file tidy.A$1,900 to A$2,400 a month, all inclusiveDictation and transcription typist
Turns digital dictation (BigHand, Philips SpeechLive, Dragon or a phone recording) into letters, file notes, affidavits and advices in your house style, usually back the same day because your typist works your hours, not overnight.A$1,900 to A$2,400 a month, all inclusiveBilling and accounts assistant
Enters time and disbursements, prepares draft bills and itemised accounts for partner review, sends them on your billing day, follows up debtors, reconciles the office account and prepares trust account receipts, reconciliations and reports for your authorised signatory.A$2,100 to A$2,800 a month, all inclusiveDocument management and paralegal support
Maintains iManage, NetDocuments or your practice management system’s document library, assembles court books, briefs and discovery lists, prepares first drafts from precedents, runs ASIC, PPSR and title searches, and prepares conveyancing files ahead of settlement.A$2,400 to A$3,400 a month, all inclusive
What stays with your solicitors
Legal advice, appearances, signing, client legal privilege decisions and trust account authorisations stay with your solicitors, as the Legal Profession Uniform Law and the equivalent Acts in the other states require. Rule 37 of the Australian Solicitors’ Conduct Rules puts supervision of all staff on a matter with the responsible solicitor, and an offshore assistant sits inside that supervision like any other member of the practice: your procedures, your review, your sign-off.
Workflows and software
Your team member gets a licensed seat in your practice management system (LEAP, Actionstep, Smokeball, Clio or PracticeEvolve), a work email on your domain, your dictation platform and your document library, all under permissions you set. Court and search platforms, PEXA and trust accounting stay with your authorised staff; the offshore assistant prepares the file, the searches and the paperwork so those steps take minutes. Software licences remain the firm’s, so an extra seat is usually the only added cost. We document the handover in a shared procedure and your account manager checks in through the first weeks.
