What an offshore bookkeeper does

An offshore bookkeeper does the same job as a bookkeeper sitting in your Sydney, Melbourne or Brisbane office: they keep the ledger accurate and up to date so that your accountant, your BAS agent and you always have current numbers to work from.

The difference is the model. Instead of a part-time local bookkeeper or a shared outsourcing pool, you get one full-time person who works only for your business, in your accounting file, in your hours, reporting to you. Most Offshored clients hand over the daily and weekly processing first, then payroll and month-end preparation once trust is established.

They work inside your systems with the access you grant. Your data stays in your Xero, MYOB or QuickBooks file and you can change or remove that access at any time.

What Offshored looks for when shortlisting an offshore bookkeeper for an Australian business:

  • Degree a bachelor's degree in accountancy, accounting technology, financial management or a related field; the Philippines produces a large pool of accounting graduates every year
  • Australian experience two or more years working on Australian client files, either for an Australian business or through a Philippine outsourcing firm serving Australian accountants
  • Australian GST and payroll knowledge GST coding, BAS reconciliation, PAYG withholding, superannuation guarantee and Single Touch Payroll reporting
  • Software certification Xero Advisor or Xero Payroll certification, MYOB or QuickBooks Online ProAdvisor certification where the role calls for it
  • English strong written and spoken English; the Philippines has one of the largest English-speaking workforces in Asia and business is conducted in English

Your offshore bookkeeper works a full eight-hour day, Monday to Friday, at the times you set in your Australian time zone. Manila is two hours behind Sydney for most of the year, so the overlap is complete: they are online when you are, from your first coffee to close of business.

What Australian owners ask before hiring an offshore bookkeeper

Can an offshore bookkeeper prepare my BAS?

Yes, they can reconcile GST and PAYG withholding and prepare the BAS workpapers each quarter or month. Under Australian law only you or a registered BAS or tax agent can lodge, so your offshore bookkeeper prepares the figures and your agent reviews and lodges them. Many Offshored clients keep the same accountant and simply hand them cleaner books.

Will my offshore bookkeeper have access to my bank accounts?

Only the access you choose to give. Bank feeds in Xero, MYOB and QuickBooks are read-only imports, so a bookkeeper can reconcile transactions without being able to move money. We recommend you keep payment approval in Australia: your bookkeeper prepares the batch and you or your Australian manager authorise it in the bank.

How does a bookkeeper in the Philippines know Australian GST rules?

We shortlist candidates who have already worked on Australian files and who know GST coding, BAS, superannuation and Single Touch Payroll. You set the chart of accounts and your accountant reviews the file as they do now. Because the bookkeeper works in your system every day, errors are caught the same week, not at year end.
